The April 30, 2025, deadline to submit FY25 requisitions has passed. If you still need to move forward with a purchase, you must submit an exception request for consideration.
How to Request an Exception
Exceptions will be considered under certain limited circumstances, which are listed on the exception form.
Complete the Exception Request for POs and Non-PO AP Invoices Form. Please keep exceptions to a minimum.
You must provide a justification for not submitting the requisition by the deadline.
You must fill out all mandatory fields.
Do not submit blanket exception requests for multiple purchases. An exception request must be submitted for each individual requisition.
If approved, you will receive an email notification that your exception request has been approved.
Submit your requisition and attach the exception approval email to your requisition
Do not submit requisitions without the exception approval attached – they will be rejected
Remaining FY25 Deadlines
May 15, 2025 – Submit PSTARs for stipends/temps (CPG-funded)
May 16, 2025 – Submit Non-PO AP invoices (District Office – Follow Normal AP Process)
June 13, 2025 – Final date for fully approved requisitions to reach Procurement’s queue
30 days from expense date – Submit June travel or reimbursement expenses
Last day of school – All CPG-funded items/services must be delivered
July 1, 2025 – Title I funding requisitions may be entered on July 1st through August 15th.
Failure to meet these deadlines may result in the use of FY26 funds or rejection of your request.
Attention Approvers!
Please note that you must fully approve all requisitions by June 13, 2025. It is essential that all approvers in the requisition approval chain complete their approvals promptly to ensure compliance with this deadline. Any delays in the approval process will hinder timely processing and could result in the requisition being charged against FY26 funds. Timely action from all approvers is critical to avoid these consequences.
Confirming POs
Confirming PO requisitions submitted after the April 30, 2025, deadline will be rejected, and a new requisition must be entered in FY26 using FY26 funds.
Confirming PO requisitions using grant funds submitted after April 30, 2025, will be denied, and FY26 general funds must be used to cover the expense.
Title I (4501.25) Funding
The requisition deadline for Title I funding was April 30, 2025. Schools/Offices that did not submit their Title I requisition by that date will have another opportunity to do so between July 1 and August 15, 2025, once the new fiscal year opens.
Title I confirming purchase orders will not be approved. For questions or support, contact your designated Title I Staff Specialist or the district's Title I Coordinators.
Non-Essential Purchases
Due to recent shifts in available funding, the district is carefully reviewing and limiting approvals for non-essential purchase requests. Requisitions may be declined as we prioritize essential needs in alignment with year-end priorities.
